"How does it differ from Airtable?" and "what does it cost per year?" are compared in full on the NocoDB product page and in NocoDB vs. Airtable. This article is about the questions that come up in actual use.
API Integration
Q: Where do I get an API key?
Create an API token in your account settings inside the NocoDB interface. NocoDB automatically generates a REST API for every table you create — no extra configuration and no code required. Once you have the token, you can read and write directly.
Q: Can I use n8n to update NocoDB data automatically?
Yes, and it's a very common combination — NocoDB as the data layer, n8n as the automation layer, both in your own environment, with no data passing through third-party SaaS. You connect them by calling NocoDB's REST API from an HTTP node in n8n, or by using the NocoDB node.
Data Volume and Performance
Q: How much data fits in 5 GB of storage?
For tables of plain text and numbers, 5 GB is an enormous amount — you'll usually hit some other bottleneck long before you run out of space. What really consumes space is attachments: if you upload a lot of images or files into your tables, space disappears much faster. We recommend keeping large attachments elsewhere and storing only links in your tables.
Q: Will the memory be enough?
Everyday table operations, filtering, and switching views are all lightweight, so the plan's resources are plenty. The operations that consume real resources are fetching a very large number of records at once — opening a view with tens of thousands of records and no filter, for example, or requesting all the data in a single API call. Make good use of view filters, and remember to include pagination parameters in your API calls.
Collaboration and Importing
Q: Do conflicts happen when several people edit the same table at once?
NocoDB supports multi-user collaboration, and ordinary editing scenarios are fine. What to watch out for is simultaneous edits to the same field of the same record — the last save overwrites the earlier one, which matches the behavior of most collaboration tools. Dividing the work so different people own different records or fields avoids most of the trouble.
Q: Is there a user limit? Do extra users cost more?
There's no per-user charge. This is the most tangible cost difference between self-hosting and Airtable — Airtable bills per user per month, so costs rise as the team grows, while RoamerHost's NocoDB is a flat NT$499/mo regardless of headcount.
Q: Can I import my existing Excel or CSV files?
Yes, NocoDB has import built in. Before importing, check your field types — especially date formats and numeric columns. Cleaning them up in the source file first saves far more effort than fixing them column by column afterward.

Data and Integration
Q: How is it different from Google Sheets?
Underneath, it's a real database: fields have types, tables can be linked to each other, the same data can be presented as a grid, kanban board, calendar, form, and other views, and permissions go down to "who can see this, who can change it." It also doesn't get progressively laggier the way a spreadsheet does once you're into the tens of thousands of rows.
Q: Can I connect my existing MySQL or PostgreSQL?
Yes. NocoDB can connect to external databases, turning your existing tables into a usable collaboration interface. Your data stays where it is and your original systems keep working as normal.
Q: Can I export my data?
Yes. Table data exports straight to CSV; if you need full backups or scheduled syncing to another system, pulling it automatically through the API is the more reliable approach.
Q: Can I get notified automatically when data changes?
Yes. Set up a webhook to fire notifications when records are created, updated, or deleted. Combined with n8n, that gives you automations like "a new order comes in and a LINE message goes out automatically" — see the n8n plus NocoDB combination for how to build it.
